The site measurement checklist — the dimensions that become variations

Everyone measures the room. Length, breadth, height, done in eleven minutes. Then three weeks later the wardrobe will not go in because there is a beam nobody wrote down, and a job that was priced correctly becomes a job that loses money politely.

A site measurement is not a record of the room. It is a record of everything that could make the quote wrong. Here is that list, ordered by what the omission costs rather than by the order you walk the room in.

1. Beam drops and ceiling obstructions

The single most expensive thing to miss. A beam dropping 250mm across a bedroom wall does not just shorten the wardrobe — it decides whether the loft is possible, whether the shutter heights change, and whether the false ceiling has to be redesigned around it.

Record, for every wall you will build against: floor-to-beam-soffit height, beam width, and where along the wall it starts and stops. Photograph it with a tape held against it. A dimension without a photo gets doubted; a photo without a dimension gets guessed.

2. Floor level variance

Measure the floor-to-ceiling height at both ends of every long run, not once in the middle. Indian slabs and screeds routinely vary 10–25mm across a room, and older buildings much more. A full-height wardrobe run against a floor that falls 20mm is a scribing problem the carpenter discovers on site — which is to say, at the worst possible moment for both of you.

3. Existing services, before anything is covered

Every one of these becomes a variation if it is found late:

  • Electrical points, switchboards and DB position — with heights from finished floor level, not from the skirting.
  • Plumbing inlets and outlets, and the drain position, which decides whether a kitchen layout is even legal.
  • AC copper piping and drain runs — the drain needs fall, and a wardrobe in the wrong place makes that fall impossible.
  • Gas line position and the mandatory clearances around it.
  • Existing conduits in walls you plan to chase. A chase that hits a live conduit is a day lost and a bill nobody quoted.

4. Openings, measured properly

Doors and windows need more than a width. For each one record:

  • Structural opening size, and the frame size separately.
  • Sill height from finished floor — this decides furniture heights against that wall.
  • Reveal depth, which decides whether the wardrobe can run past it.
  • Which way each door swings, and how far into the room. A door swinging into the exact space where the hinged wardrobe opens is a sliding-versus-hinged decision made at measurement time, not at design time.

Two of these dimensions decide a price rather than a fit, and both have a calculator that shows the difference: a false ceiling priced on the room rather than on the band, and a wardrobe priced on elevation rather than on developed area. Same rate, very different bill.

5. Squareness, not just dimensions

Measure both diagonals of every room you will build fitted furniture in. If they differ, the room is not square, and every modular assumption you are about to make is wrong at one end. It takes ninety seconds and it is the difference between a filler strip you quoted and a filler strip you explain.

6. The route in

Not part of the room and absolutely part of the price. Lift internal dimensions, lift door width, staircase width and the tightest turn on the landing, and the width of the flat's own entrance door. A finished 8-foot wardrobe module that cannot get out of the lift becomes a site-assembled wardrobe, which is a different rate and a different finish quality.

Also note the building's work timings and whether the society requires a deposit or restricts weekend work. Neither is a dimension. Both change the schedule you are about to commit to.

What to do with it before you quote

Put the constraints into the quotation as words, not just into the drawing as geometry. A client reads a document, not a plan. Two lines are usually enough:

  • Quoted against site measurements recorded on 24 August. Beam drop of 250mm on the north wall of Bedroom 1 is accounted for; wardrobe height reduces accordingly.
  • Any change to existing electrical or plumbing positions is outside this quotation and will be quoted separately.

That second line is the one that turns a difficult conversation into a reference to something already agreed. It belongs in the same document as the line items, and it is the cheapest insurance in the trade against variations you end up absorbing.

The habit worth building

Measure once, properly, before quoting — not twice, badly, once before quoting and once before manufacturing. The second visit is not free: it costs a day, it delays the quote past the point where the client was excited, and it is where studios lose jobs to whoever quoted first.

The checklist above takes maybe twenty minutes more than the eleven- minute version. It is the highest-return twenty minutes in the whole project.
